Donor Relations Policy
The Central Park Conservancy, Inc. (the "Conservancy") uses financial support from its donors to fulfill its mission of restoring, managing and enhancing Central Park, in partnership with the public. Central Park Conservancy strives to earn the trust of its donors by taking measures to effect transparency and accountability to the public at all times, while respecting the desire of any donors who wish to remain anonymous.
This Donor Relations Policy aims to clarify Central Park Conservancy's policies and procedures regarding recognition of gifts, donor privacy, and honoring donor intent. The Conservancy, through this policy, strives to adhere to the principles set forth by the Donor Bill of Rights created by the Association of Fund Raising Professionals.
Confidentiality of Personal Information of Donors
The Conservancy and its employees are responsible for maintaining records of all personal information of donors. Every reasonable precaution shall be taken to protect and preserve the confidentiality of such personal information. Conservancy employees and volunteers, as well as agents and authorized service providers of the Conservancy, are required to safeguard donors’ personal information. The Conservancy values and respects its donors’ right to privacy, and is committed to ensuring that donors’ personal information is used only for the purposes for which is it collected, and in accordance with donors’ intent.
Donors' personal information is collected to establish and manage the Conservancy's relationship with donors, and to identify donors’ preferences and expectations. The information is also used by the Conservancy to analyze giving patterns, process gifts, and provide donors with documentation of their charitable contributions. In addition, personal information is used to publicly recognize and thank donors for their generosity.
The Conservancy only uses and discloses personal information with donor permission. Donors who wish to avoid any disclosure of their contributions may inform the Conservancy when making a pledge or gift. This request for anonymity shall be honored by the Conservancy unless, and until, a donor informs the Conservancy otherwise. In the absence of a donor’s request for anonymity, the Conservancy may, at its discretion, recognize and publicize a donor’s contribution.
Gift Acknowledgement and Recognition
The Conservancy recognizes donors' philanthropic contributions by various means, in a tasteful and appropriate manner, respecting the desire of those donors who wish remain anonymous.
Gifts accepted by the Conservancy, regardless of value or form, shall be acknowledged in writing to the donor, and in accordance with the Internal Revenue Code and US Income Tax Regulations.
Leadership gifts of a certain magnitude towards particular projects or campaigns may receive in-Park recognition for a specified term of years, or in perpetuity, agreed upon, on a case-by-case basis and in writing, and subject to any required consents and/or approvals from the NYC Department of Parks & Recreation, applicable community boards, the NYC Landmarks Preservation Commission, the NYC Public Design (or Arts) Commission, and such other consents and/or approvals as may be required by law. Determination of the required gift level for in-Park donor recognition, if any, shall be made on a case-by-case basis by the Conservancy, taking into account such factors as the financial needs of the Park and the philanthropic climate at the time of the contribution.
The Conservancy may, at its discretion or at the request of the City of New York, relocate or remove in-Park donor recognition at the end of the agreed upon term, or when the renovation of the surrounding area warrants such a change. In addition, in the event that circumstances change substantially such that continued in-Park donor recognition could compromise the public’s trust, the Conservancy, may relocate or remove such in-Park donor recognition.
Donors who wish to avoid any public recognition of their contributions may inform the Conservancy when making a pledge or gift.
Transparency of Conservancy Resource Allocation and Fiduciaries
The Conservancy recognizes that donors must be assured that their contributions will be used prudently and in accordance with the intent for which they were given. Information regarding the manner and purposes in which the Conservancy’s resources are allocated shall be made readily available to donors through disclosure of the Conservancy’s most recent financial statements and IRS Form 990. In addition, the identity of the Conservancy’s fiduciaries, its governing board and its senior management, shall also be disclosed to donors. The Conservancy’s Annual Report, IRS Form 990, as well as a list of its Senior Management and Board of Trustees can be found on the Conservancy’s website.
Review and Amendment of the Donor Relations Policy
The Gift Acceptance Committee of the Board of Trustees shall have the authority to review and recommend modifications to the Donor Relations Policy.
